The challenge is knowing which ones match your actual needs and priorities.

Every platform promises to solve your problems. They solve problems, just not necessarily the ones you have. And by the time you realize it's not the right fit, you've wasted time on setup and onboarding and thousands of dollars on tools that lock you into yearly contracts.

So here's the honest breakdown of every tool we use, organized by EXACTLY how we use them, and how they sync together into a revenue-generating system.

1. 200+ Leads Per Month From Organic Content 

LinkedIn drives us 200+ leads every month. Between my account (+63k followers) and the rest of the team (+250k combined), we're putting out a lot of content.

For LinkedIn, we use Taplio and Scripe for content ideas and inspiration. They give us access to millions of viral posts to analyze what's working, while also helping with AI-powered content generation.


We use Notion to keep our content calendar organized with the different steps before posting, from generating ideas all the way to the design that comes with the post.

For YouTube (almost at 2K subs), we record on a Sony FX30 for professional video quality, use Tella for screen and audio recording with automatic editing features, and let vidIQ show outlier videos in our space to identify content gaps and trending topics.

For SEO, we're driving ~100K visitors quarterly.

One-third comes from search and LLMs. We host on Webflow for its visual builder and fast load times, research with Ahrefs for keyword data and backlink analysis, and use AirOps for AI search optimization and building programmatic pages at scale.

It specifically helps us understand how our content appears in LLMs.

For email marketing, we have ~10K subscribers with 40%+ open rates (we clean aggressively). beehiiv handles our 3-5 weekly emails with built-in analytics, subscriber segmentation, and monetization features.

2. Running GTM for 70+ B2B Companies

We deliver outbound and GTM for 70+ clients. Because we provide services to a lot of companies that are either already using AI tools or that have different requirements, our outbound stack is the most extensive one.

Data & Enrichment

Clay is our data operations center where we build custom workflows, combine multiple data sources, run AI enrichment, and handle complex data operations that standard platforms can't manage.

FullEnrich runs waterfall enrichment, checking multiple providers sequentially until it finds valid contact data, either valid phone numbers or email addresses.

For email and phone discovery, we use Prospeo, Wiza, and LeadMagic for bulk email finding with high accuracy, maximizing our coverage for real-time email verification and mobile number lookups.

3. The Operations Stack Running a 30-Person Team

Our team includes 30+ FTEs and roughly 10 fractional freelancers. With this many people, keeping everything organized and well-documented is essential.

We use Notion as our project management and documentation hub where we store SOPs, client documentation, and roadmaps. 

Supabase powers our internal database infrastructure with Postgres, real-time subscriptions, and built-in authentication for custom internal tools, while Airtable is our operational source of truth for client tracking, project status, and deliverable management with relational databases and custom views.

Google Meet handles video conferencing for client calls and internal meetings. Slack manages real-time team communication, and Loom enables async video explanations and training.

For AI, we use the latest models of Gemini, OpenAI, and Claude. We use OpenRouter to access multiple LLMs from a single interface.

4. Our Inbound Conversion Engine

The real challenge is converting those high-intent prospects into qualified meetings, and these are the tools powering that motion.

Google Analytics and Usermaven track traffic sources, user behavior, conversion paths, and attribute revenue to specific channels.

Webflow hosts our website with a visual builder and fast CDN. Wistia hosts video content with detailed engagement analytics showing exactly who watched and for how long.

Default captures leads and automatically enriches them with firmographic data, intent signals, and contact information the moment they convert.

Customer.io re-engages prospects who showed interest but didn't book, using behavioral triggers and personalized sequences.

6. The GTM Flywheel for 2026
